How to set up custom messages

Do you want to inform your clients in advance about how to prepare for a visit to your business or how many minutes in advance they should arrive? Use the custom messages feature and add your own text to the automatic SMS or email notifications. This feature is included in the Standard and Pro premium plans.

Where to find custom message settings

To set the custom messages, click on the Settings tab - Automation - Messages section.

The system opens an editing window after clicking on a specific message category.

This page is divided into two parts. At the top are settings for email messages and below them, there are settings for SMS messages. Each of them needs to be set separately.

Email messages

  • On the right side of the page, you will see a button called Enable sending. If it is activated (i.e., lights up green), the selected message will be automatically sent to the client.

  • Then, you can see options to edit the custom messages.

You can change:

  • The subject of the message — This text will be displayed as the subject of emails sent to clients.

  • Message text — This section represents the specific wording of your message. When using variables, the system automatically replaces them with specific information. Thanks to that, you can make the texts more personal to your clients. For example, when we insert the variable CLIENT_NAME into the text, the system always substitutes it with the name of the given client.

  • You can see the preview of the message in the Preview Message window.

  • To restore the message to its original text, click the Set default option at the bottom.

SMS messages

  • To enable sending SMS messages, you must activate the appropriate button on the right side of the page.

  • After it turns green, you can start customizing it.

  • To restore the original text of the message, click on Set default.

Watch the character count!

Below the message text, you can see the number of characters remaining for one SMS. The standard length of one SMS message is 160 characters. If you exceed this limit, instead of one notification, the client will receive 2 or even more SMS messages (every 160 characters = a new message). Be careful, especially if you insert variables into the message — they work the same as in email notifications. These will be replaced by the name of your client in the message, or the name of the service, so the length of the SMS message may change afterward.

Finally, don't forget to save all changes.

The SMS or email message you just set up will be sent to all clients, regardless of the service they book. It means, that it is not possible to set a custom message for each service separately.
