In Reservio, bookings are based on employees. If a service is assigned to multiple employees, the system allows multiple bookings to be created simultaneously (one client per employee). This can lead to overlapping bookings if multiple staff members are assigned to the same service in one room, chair, massage table, or other equipment.
To ensure that a room is always occupied by only one client at a time, we recommend the following solutions.
1. Create a virtual employee for the room
Create a virtual employee representing the room, such as Room 1 or Chair 1.
Assign the service only to this virtual employee.
Bookings will now be tied to the room rather than a specific staff member, preventing overlaps.
2. Adjust employee working hours
Set different working hours for each employee to avoid overlapping bookings.
This helps control which employees are available at specific times.
3. Use manual booking approval
Enable manual booking approval for services that share a room.
This allows you to review and approve each booking, ensuring only one client is scheduled per room at a time.
4. Manually block employees after the first booking
Once the first booking is made, manually block other employees for the same time slot by closing their working hours or creating a fictitious booking.
This ensures that only one client is scheduled per room, even if multiple staff members are available.
Following these steps helps prevent overlapping bookings in shared rooms, ensuring a smooth scheduling process and optimal room usage.
